College fest certificates without the closing-week scramble
Issue certificates for every event in a college fest — participants, winners, volunteers, speakers, and organisers — with corrections after the send.
On this page
A college fest is not one certificate run. It is a dozen events, several award groups, sponsor requirements, faculty signatures, and a correction window that opens the moment the first email lands. Each coordinator has a list; nobody has the whole picture.
Verifycate keeps each event’s certificate, recipient list, design, and public page together, so the closeout can be handled event by event instead of one merged spreadsheet.
This page covers the platform pieces, the old stack it replaces, the options a fest team controls, and the outcomes worth tracking.
Why the fest closeout breaks
The problem is not one certificate. It is twelve events, five recipient groups, sponsor marks, faculty signatures, and a correction window that opens the moment the first email lands.
The typical stack is a design file per event, a spreadsheet per coordinator, a folder of PDFs, and a group chat for fixes. By the closing ceremony, nobody can say which event has been sent, which winner is missing, or which sponsor logo was approved.
Inside the platform
| Capability | What it gives you |
|---|---|
| Certificate per event or award | Separate public pages and recipient lists for each competition. |
| Attributes | Event, position, role, team, and sponsor values inside one reusable Template. |
| Bulk import | CSV, Excel, paste, or API; duplicate recipient entries are skipped. |
| Issue Request Form | Collect missing participants and late winners in one inbox. |
| Correction Form | Fix names and allowed details on the same certificate and page. |
| Sponsor surfaces | Printed strip on the Template; optional sponsor slots on the public page. |
| Delivery analytics | Issued, delivered, bounced, opened, clicked, and page views per event. |
What changes
| Old approach | Friction | With Verifycate |
|---|---|---|
| A design file per event | Dozens of approvals and exports | One Template with event Attributes |
| A spreadsheet per coordinator | No single view of who was sent | Recipient status per event |
| PDFs in a Drive folder | No verification or correction path | Public page and QR code |
| Corrections in a group chat | Reissue the file | Correction Form on the same record |
| Sponsor logos applied by hand | Inconsistent approvals | Approved strip on the Template |
Options and plan gates
- Per event or one shared certificate. Separate certificates are easier to correct; one shared design is faster to maintain.
- Winners and participants. Separate award groups, or one design with
positionandroleAttributes. - Review or automatic requests. Review Issue Request submissions, or issue when the applicant confirms their email.
- Delivery. Shared sender, or on Pro a custom domain, provider, or SMTP.
- Credits. One per certificate issue; corrections and imports do not spend credits.
What to watch
| Outcome | Where it shows up |
|---|---|
| Issued per event | Recipient status |
| Delivery and bounces | Delivery events |
| Corrections per field | Correction Requests |
| Recipient sharing | Page views and clicks |
| Pending recipients | Issue Requests and recipient filters |
Scope and inputs
Any multi-event campus programme: cultural fest, tech fest, sports meet, department day, or a cluster of club events. The recipient data can come from a registration form, a check-in sheet, a judging sheet, or a coordinator’s spreadsheet.

Common questions
- Should we create one certificate per event or one for the whole fest?
- One per event is easier to correct and gives each event its own public page. One certificate with event and award Attributes is faster to maintain when the design is identical.
- How do we stop duplicate certificates?
- Decide whether a person receives the highest award only or one per role. Verifycate skips duplicate recipient entries on import, but it does not know which award should win.
- Can sponsors appear on the certificate and the page?
- Yes. The printed strip belongs on the Template. Sponsor slots on the public page are a separate Pro feature and do not appear on the certificate.
- What happens when a name is wrong?
- The recipient submits the Correction Form. Approving it updates the same certificate and page without spending another credit.
