Certificate operations for university departments
Give departments a repeatable certificate workflow with institutional identity, cohort lists, corrections, SSO, SCIM, and audit logs.
On this page
Universities issue certificates through departments, centres, student clubs, and programme offices. Each unit has its own cohort, signatory, and spreadsheet; the institution’s name is on every certificate.
Verifycate gives the department its own recipient list and design while keeping institution-level identity, roles, and on Pro SSO, SCIM, and audit logs.
This page covers where the value shows up, the platform fit, the programme types, the controls, and a department-first rollout.
The department is the operating unit
Central IT rarely wants another system. A department wants to issue certificates for its programme without waiting for a portal project. The practical answer is a shared workspace with clear roles: the institution controls access, the department runs its own certificates.
That split matters for identity. The institution wants SSO and an audit trail; the department wants a list, a design, and a send. Verifycate supports both: workspace roles for the department, and on Pro OIDC/SAML, SCIM, and audit logs for the institution.
Where it pays off
| Outcome | What changes |
|---|---|
| Cohort closeout | Issue a programme cohort in one batch, with the department and programme as Attributes. |
| Correction handling | Students submit name or roll-number fixes; the department approves once. |
| Institutional identity | One approved Template carries the university name, mark, and signatory. |
| Alumni access | Issued pages stay available after the programme, so students can return to the record. |
| Repeat programmes | Reuse the Template, email, and recipient mapping for the next cohort. |
| Access control | Roles, SSO, SCIM, and audit logs on Pro. |
What covers it
| Need | Capability | Result |
|---|---|---|
| Programme and cohort records | Attributes for department, programme, roll number, and cohort | One Template covers several cohorts |
| Bulk issue from a student list | CSV, Excel, paste, manual entry, or API | One recipient record per certificate |
| Missing or late students | Issue Request Form with review | Requests sit in a department inbox |
| Name and roll-number fixes | Correction Form and review queue | Same certificate and page, no extra credit |
| Institutional branding | Template editor, custom domain on Pro | Certificates and pages that look like the university |
| Directory and access | SSO, SCIM, roles, audit logs on Pro | Institution-level control without a second portal |
| Evidence for reviews | Recipient export, delivery events, correction records | A record of what was issued |
Programme types
- University certificates — course, workshop, seminar, and co-curricular certificates.
- Course certificates — cohort completion and LMS triggers.
- Workshop certificates — attendance and completion.
- Conference certificates — presenters, attendees, and committees.
- Volunteer certificates — NSS, clubs, and service programmes.
Control and access
- One connection per workspace. OIDC or SAML 2.0 for SSO, with SCIM provisioning on Pro.
- Roles. Department staff can issue without seeing every other department’s records.
- Audit logs. Workspace activity is reviewable and exportable on Pro.
- Custom domain and email. Certificate pages on the institution’s domain, and email from a verified sender.
- API and webhooks. Connect a student information system or a custom programme portal.
Adoption path
- One programme office. Issue one cohort with the department’s Template and signatory.
- One faculty. Add the other programmes in the same department, and agree the correction window.
- The institution. Connect SSO and SCIM, set roles, and reuse the approved templates across departments.
A pilot is the practical way to test the wording, the public-page policy, and the sign-off process before a wider rollout.
What it displaces
| Old approach | Friction | With Verifycate |
|---|---|---|
| A design file plus a mail merge | Every cohort is a new export | Template with cohort Attributes |
| A spreadsheet of students | Duplicates, missing emails, no status | Import, dedupe, and recipient status |
| PDFs emailed by the department | Hard to verify, easy to alter | Public page and QR code |
| Correction requests by email | Staff reissue the file | Correction Form on the same record |
| A central portal project | The department waits for IT | Self-serve department workspace with institution controls |

Common questions
- Can different departments use one workspace?
- Yes. Workspace members and roles let a department issue its own certificates without managing every other department’s records.
- Do you support institutional SSO?
- Yes, on Pro: OIDC and SAML 2.0, with SCIM provisioning and audit logs. One connection per workspace.
- Can students fix their own name?
- Yes. The Correction Form lets a student request a change; the department approves it and the same certificate and page update without spending another credit.
- Is this a student information system?
- No. Verifycate handles the certificate workflow. Import a CSV or Excel export, or connect your system through the API and webhooks.
- Can we use the university’s design?
- Yes. Build the Template with the institution’s mark, signatory block, and layout, and reuse it across cohorts.
